Position Summary

The Logistics Administrator plays a critical role in supporting daily operations across our Purchasing, Warehouse, and Fleet departments. This position ensures accurate tracking, documentation, and coordination of materials, inventory, and fleet operations while supporting communication between field teams, warehouse staff, and vendors.

This role is ideal for someone who is highly organized, detail-oriented, and enjoys working behind the scenes to keep operations running efficiently.

Key Responsibilities

Purchasing Administration

  • Track purchase orders for materials and supplies
  • Maintain vendor records, pricing data, and procurement documentation
  • Coordinate delivery schedules with internal teams and vendors
  • Support invoice verification and ensure purchasing accuracy
  • Track will-calls, order discrepancies, and purchasing reports

Warehouse Coordination

  • Maintain accurate inventory records and assist with cycle counts
  • Process receiving documentation and maintain digital records (packing slips, BOLs, etc.)
  • Coordinate material deliveries, pickups, and returns
  • Support inventory reconciliation and tool tracking
  • Assist with staging materials for jobsite delivery
  • Generate inventory and usage reports for leadership

Fleet Administration

  • Maintain fleet documentation (registrations, insurance, maintenance records)
  • Coordinate service appointments and vehicle logistics
  • Track fleet assignments and compliance requirements
  • Support rental equipment coordination and documentation
  • Communicate with vendors and assist with fleet recordkeeping

Operational & Administrative Support

  • Maintain organized digital and physical filing systems
  • Assist with reporting, data entry, and logistics tracking
  • Coordinate communication across purchasing, warehouse, and fleet teams
  • Document and track L10 meetings
  • Pull reports and support operational metrics
  • Identify opportunities to improve processes and efficiency
  • Support additional logistics and administrative needs as required 

Qualifications

  • 2+ years of administrative experience in logistics, warehouse, purchasing, or fleet operations
  • Experience with inventory systems, ERP software, or fleet systems preferred
  • Strong proficiency in Microsoft Office (especially Excel)

Preferred Experience

  • Experience in construction, industrial services, or field service environments
  • Familiarity with equipment tracking, parts inventory, and fleet vehicles
  • Experience supporting operations teams and field personnel
